What you getDrawdown and reimbursement
The request itself, by award

Requested amount, cumulative drawn to date, and balance remaining for every federal award, built straight from the ledger.

A supporting-documentation checklist

Every ledger line behind the request marked allowable, missing backup, or excluded, so nothing goes out undocumented.

A balance check before you submit

Any award a request would draw past its total budget, flagged by name and by dollar amount, before the request leaves your hands.

How it worksSame four steps, every solution
  1. 01

    Get your ledger

    Your accounting system's export.

  2. 02

    Match your columns

    Which column is which.

  3. 03

    Name what's in your file

What each code in your ledger really is.

  4. 04

    Fix what's flagged

    What your auditor asks first.

The rules it checksKept current
Federal payment
2 CFR 200.305

A grant recipient may draw down federal cash only to the minimum amount needed for actual, immediate cash requirements, matched to expenditures already incurred or about to be incurred.

Allowable and allocable costs
2 CFR 200.403-200.405

A drawdown request can only include costs that are allowable under the cost principles and allocable to the award being drawn against. An unallowable cost, entertainment or alcohol among the clearest examples, has to be excluded before the request goes out.

A worked exampleRiverbend Community Partners, year end December 31, 2026

Riverbend Community Partners is requesting $203,400 in reimbursement across 4 federal awards for March 2026. $14,450 in ledger activity is excluded from this request ($1,850 unallowable, $9,400 missing backup, $3,200 not coded to an award). 1 of 4 awards would exceed its total award amount if this request is submitted as drafted.

By hand vs. with LeapWhat actually changes
Building the draw request
By hand

Rebuilt by hand every month from the ledger, matched line by line to what's allowable.

With Leap

Assembled from the same ledger export, matched to allowable, supported lines automatically.

Catching an unallowable cost
By hand

Found after the funder kicks the request back.

With Leap

Excluded before the request goes out. Riverbend's demo excludes a $1,850 staff dinner charge as unallowable.

A line with no backup on file
By hand

Discovered during the funder's own review.

With Leap

Flagged on the checklist: $9,400 in software renewal costs with no backup attached.

Drawing past an award's balance
By hand

Caught only when the funder's own system rejects the request.

With Leap

Flagged before submission: Head Start would draw $902,000 against an $880,000 award.

QuestionsAnswered plainly
What's the difference between a drawdown and a reimbursement request?

A drawdown pulls federal cash in advance of spending it; a reimbursement request asks for cash back after the spending already happened. 2 CFR 200.305 governs both the same way: request only what matches expenditures already incurred.

How does Leap decide a cost is unallowable?

Off the cost principles in 2 CFR 200.403 through 200.405, entertainment and alcohol among the clearest examples, plus any category your own award terms exclude.

What if a request would draw more than an award has left?

Leap flags it before you submit, naming the award, the balance remaining, and how much the request would exceed it, so you can adjust the request instead of having it rejected.
